Everything you need to get the most out of SyncCircle — from your first circle to your hundredth plan.

🚀

Getting Started

Getting Started

Account setup, your first circle, and your first event.

How do I create my first circle?

After signing up, tap "New Circle" from the Pulse dashboard. Give it a name, pick a category (social, sports, family, work), and invite your people via link, phone number, or email. Circles are private by default — only members see the activity inside.

What's the difference between a circle and an event?

A circle is your group — the people you coordinate with. An event is a specific plan within that circle. Think of circles as the "who" and events as the "what + when." One circle can host unlimited events, and you can create events across multiple circles.

How does SmartCreate work?

SmartCreate lets you describe a plan in plain language — type or speak something like "Friday dinner at Blue Owl, 7pm, invite the Austin crew." SyncCircle's AI drafts the event with time, place, suggested guests, and even a carpool if distances warrant it. Review, tweak, and send.

Can I use SyncCircle without downloading an app?

Yes. SyncCircle is web-first. Guests can RSVP, view event details, and respond to polls from any browser — no app download or account required. The full experience (creating events, managing circles, carpool) works best with an account, but we never block the moment that matters.

👥

Circles & Groups

Circles & Groups

Creating, managing, inviting, and understanding reliability scores.

How many circles can I create?

On the Free plan, you can create up to 5 circles with up to 25 members each. Pro removes all limits — unlimited circles, unlimited members, and advanced features like co-admin controls and analytics.

How do I invite people to my circle?

Open your circle and tap "Invite." You can share a link via any messaging app, enter phone numbers or emails directly, or use contact sync to find friends already on SyncCircle. Invitees join with one tap — no separate signup flow.

What are reliability scores?

Every member builds a reliability score based on their RSVP behavior. If you say "going" and show up, your score goes up. Consistent no-shows or last-minute cancellations bring it down. Hosts can see reliability at a glance — it keeps coordination honest without being punitive.

Can I have multiple admins in a circle?

Yes. Circle creators can promote any member to co-admin. Co-admins can create events, manage members, edit circle settings, and send broadcasts. This is especially useful for sports groups, school committees, and community organizations where coordination is shared.

How do I leave or delete a circle?

Open the circle, go to Settings, and tap "Leave Circle." If you're the only admin, you'll need to promote someone else first. Circle creators can delete a circle entirely from Settings — this removes all events, messages, and member data permanently.

📅

Events & Plans

Events & Plans

Creating events, templates, polls, RSVPs, tasks, and co-hosts.

How do I create an event?

From the Pulse dashboard, tap "New Event" or use SmartCreate to describe it naturally. Set the title, date, time, location, and which circle to invite. You can add a description, enable polls, set a guest cap, or attach a payment link — all optional.

What are event templates?

Templates let you save a recurring event format — weekly tennis, monthly dinner, school run — and reuse it with one tap. The template remembers the circle, location, time pattern, and settings so you don't re-enter details every time.

How do date polls work?

When creating an event, toggle on "Date Poll" and suggest 2-5 possible dates. Members vote on which dates work. Once votes are in, you pick the winner and the event locks in. No more "when are you free?" threads.

How do I split costs for an event?

Add a payment link (Venmo, PayPal, Cash App, or any URL) to the event. SyncCircle shows the link prominently on the event page so attendees can settle up. We display the link — we don't process payments directly, keeping things simple and flexible.

Can I assign tasks to attendees?

Yes. Open an event and go to the Tasks tab. Add items like "Bring ice," "Pick up cake," or "Reserve table" and assign them to specific attendees. Everyone sees their responsibilities and can mark tasks complete.

How do co-hosts work?

When creating or editing an event, add co-hosts from your circle. Co-hosts can edit event details, manage RSVPs, send broadcasts, and access the event admin view. It's ideal for parties, team events, and anything with shared organizational responsibility.

🚗

Carpool

Carpool

Posting rides, finding rides, route matching, and driver ratings.

How does route matching work?

When a driver posts a ride with origin and destination, SyncCircle evaluates route overlap with rider requests. If your pickup point is along the driver's route (within a reasonable detour), you'll see the ride as a match. The system considers distance, time, and circle trust signals together.

How do I offer a ride?

Go to the Carpool tab and tap "Post Ride." Enter your origin, destination, departure time, and available seats. You can make it recurring (daily commute, weekly game day) or one-time. Circle members see your offer and can request a seat.

How do I request a ride?

From the Carpool tab, tap "Request Ride" and enter your pickup location and destination. SyncCircle shows available rides from your circles that match your route. Tap to request — the driver confirms or declines.

What's the driver rating system?

After each ride, both driver and rider can rate the experience. Ratings are based on punctuality, communication, and overall experience. High-rated drivers build trust within their circles, making future coordination smoother.

Hangouts & Discovery

Hangouts & Discovery

Spontaneous meetups, nearby activities, and swipe discovery.

What are hangouts?

Hangouts are spontaneous, low-effort plans. Type something like "coffee at Blue Owl, 3pm" and it becomes visible to contacts in your area. No formal event page, no heavy RSVP flow — just a signal that you're doing something and nearby friends can join with one tap.

How does discovery work?

The Discovery tab shows people and activities near you in a swipeable feed. Browse who's available, what's happening, and where. Invite someone, join a hangout, or skip — all from one interface. Discovery respects your circles, so you only see and are seen by people within your trust boundary.

What's a beacon?

A beacon is a lightweight status signal — think "available for tennis" or "grabbing lunch downtown." It shows up on the Pulse dashboard and in Discovery for friends nearby. Beacons auto-expire so they never go stale.

📆

Calendar & Sync

Calendar & Sync

Google/Apple calendar sync, free/busy overlay, and conflict detection.

How do I connect my Google Calendar?

Go to your Profile, scroll to the Calendar section, and tap "Connect Google Calendar." SyncCircle uses a secure OAuth flow — we only read your free/busy status, never your event titles or details. Two-way sync means SyncCircle events show up on your calendar automatically.

Does SyncCircle support Apple Calendar?

Apple Calendar sync is on the roadmap. Currently, Google Calendar is fully supported with two-way sync. For Apple Calendar users, SyncCircle events can be added to your calendar via standard .ics links included in every event invitation.

What is the free/busy overlay?

When you're scheduling an event, the free/busy overlay shows when your circle members are available or busy — without revealing what they're doing. It helps you find the best time window where the most people can attend, eliminating the back-and-forth.

Will SyncCircle events appear on my connected calendar?

Yes. When you RSVP "going" to an event, it automatically appears on your connected Google Calendar. If the event time changes, your calendar updates too. You control which calendars sync from your Profile settings.

Notifications

Notifications

Email, SMS, push notification settings, quiet hours, and digest mode.

What notification channels does SyncCircle support?

SyncCircle sends notifications via email, SMS, and in-app push. You control which channels are active for each type of notification — RSVP reminders, event updates, carpool confirmations, and circle activity.

How do I set up SMS notifications?

Add your phone number in Profile settings and verify it with a one-time code. Once verified, you can toggle SMS on for specific notification types. SMS is especially useful for time-sensitive alerts like ride confirmations and last-minute event changes.

What are quiet hours?

Quiet hours let you silence all notifications during specific windows — typically overnight. Go to Notification Preferences and set your quiet window (e.g., 10pm - 7am). Notifications are held and delivered when quiet hours end. Urgent alerts from event hosts can optionally override quiet hours.

How do I turn off specific notifications?

Go to Profile, then Notification Preferences. You'll see a list of every notification type (event reminders, RSVP updates, carpool requests, circle invites, etc.) with toggles for each channel. Turn off what you don't need — SyncCircle never spams.

🪪

Profile & Identity

Profile & Identity

Trust scores, verified badge, NFC cards, QR codes, and video intros.

What is a trust score?

Your trust score is a composite of your RSVP reliability, ride ratings, circle activity, and account verification status. It's visible to circle members and event hosts. A high trust score signals that you're someone who follows through — it's earned through consistent behavior, not purchased.

How do I get a verified badge?

Verified badges are earned by completing identity verification — confirming your phone number, email, and optionally connecting a calendar. Verification signals authenticity to people in your circles. It's free and takes about 30 seconds.

How does the NFC profile card work?

Your SyncCircle profile has a digital NFC card that you can tap to share with someone's phone. It transfers your SyncCircle profile link, making it easy to connect in person at events. You can also download and share your profile QR code for the same purpose.

What is Traveler Mode?

Traveler Mode activates when you're in a new city. It adjusts Discovery to show local activities, nearby SyncCircle members who've opted in, and relevant circles in the area. It's opt-in and you control your visibility — perfect for finding coordination in unfamiliar places.

Can I add a video intro to my profile?

Yes. Record a short video intro (up to 30 seconds) that plays on your profile. It helps people put a face and voice to a name — especially useful in larger circles or when meeting new connections. Videos are stored securely and visible only to your circle members.

🛡️

Privacy & Safety

Privacy & Safety

Ghost mode, reporting, data handling, and contact sync privacy.

What is Ghost Mode?

Ghost Mode hides your online status, beacon activity, and location signals from all circles. You can still browse, RSVP, and use SyncCircle normally — you just become invisible to discovery and presence features. Toggle it on from your Profile whenever you need quiet coordination.

How do I report someone?

Open the person's profile and tap the flag icon, or use the report option in any event or circle context menu. Describe the issue and submit. Reports are reviewed by the SyncCircle trust team within 24 hours. We take harassment, spam, and abuse seriously.

Is my data sold to advertisers?

No. SyncCircle does not sell, share, or monetize your personal data. We don't run ads. Our business model is subscription-based (Free and Pro plans). Your coordination data stays yours — period.

How does contact sync protect my privacy?

When you opt into contact sync, SyncCircle hashes your phone contacts locally on your device before anything leaves your phone. We use these hashed values to find mutual connections — we never see, store, or access your raw contact list. You can delete synced data at any time from Settings.

What happens to my data if I delete my account?

Account deletion removes your profile, circle memberships, RSVP history, and personal data within 30 days. Events you created are transferred to co-hosts or removed. We retain anonymized aggregate data for service improvement but nothing personally identifiable.

Billing & Plans

Billing & Plans

Free vs Pro, what's included, upgrading, and cancellation.

What's included in the Free plan?

Free gives you up to 5 circles, 25 members per circle, unlimited events, web RSVP, basic carpool, calendar sync, and the full Pulse dashboard. It's genuinely useful — not a teaser. Most casual coordinators never need to upgrade.

What do I get with Pro?

Pro removes all circle and member limits, unlocks advanced features like AI SmartCreate, co-host controls, recurring event templates, priority carpool matching, custom themes, analytics, and priority support. It's built for serious organizers — sports captains, community leaders, event planners.

How do I cancel my subscription?

Go to Profile, then Billing, and tap "Cancel Subscription." Your Pro features remain active until the end of your current billing period. After that, your account reverts to Free. All your data, circles, and events are preserved — you just lose access to Pro-only features.

Is there a refund policy?

Yes. If you're not satisfied with Pro within the first 14 days, contact us at hello@synccircle.app and we'll issue a full refund — no questions asked. After 14 days, we handle refund requests on a case-by-case basis.
